How to

How to use an org chart template.

  1. 01Define the project scope

Write a brief description of your project — its name, major deliverables, and end goal. You don't need to list every task yet.

  2. 02Ask the AI to create a WBS

Tell ChatDiagram: 'Create a work breakdown structure for [your project].' The AI will generate a hierarchical diagram with phases and deliverables.

  3. 03Expand lower-level tasks

Review the top-level deliverables and ask the AI to drill down into specific work packages — for example, 'Expand the Testing phase into subtasks.'

  4. 04Add WBS codes

Request numbered codes (1.0, 1.1, 1.1.1) for each node to align the diagram with your project management software.

  5. 05Export for your project plan

Download the WBS as PNG or SVG and attach it to your project charter, PMP documentation, or slide deck.

FAQ

Questions about org chart templates

What is a work breakdown structure (WBS) diagram?

A WBS diagram is a hierarchical decomposition of a project into smaller, manageable deliverables and work packages. It starts with the final deliverable at the top and breaks down into progressively smaller components.

What is the difference between a WBS and a project plan?

A WBS defines what needs to be delivered (scope), while a project plan adds who, when, and how. The WBS is the foundation — you build your schedule and resource plan on top of it.

How many levels should a WBS have?

Most effective WBS diagrams have 3–5 levels. Level 1 is the project, Level 2 is major phases or deliverables, and Levels 3–4 are work packages. Go deeper only when the work package owner needs that granularity.

Can I use a WBS for agile projects?

Yes. An agile WBS groups work by epics and features rather than phases. You describe the product areas and the AI structures them accordingly.

How is a WBS different from an org chart?

An org chart shows people and reporting relationships. A WBS shows work and deliverable relationships. Both use a hierarchical tree layout, but the nodes represent fundamentally different things.
